You see lease quotes that say all inclusive or maintenance included and the price looks great. Before you sign, find out what maintenance actually means in the small print. The all in label means different things to different dealers. Here is what a copier lease with maintenance included really covers in 2026 and what gets billed extra anyway.

What Maintenance Should Cover

A solid maintenance plan on a copier lease should cover four things. One, all parts. Drums, fusers, rollers, feeders, all of it, replaced at no charge when they wear out or fail. Two, all labor. A technician comes out for free when something breaks. Three, preventive maintenance. Scheduled visits to clean, calibrate, and inspect the machine before things break. Four, a base page allowance for black and white and color, plus a fixed per page rate for any pages over the allowance.

If your quote is missing any of these four, the maintenance is partial, not full.

What Maintenance Usually Does Not Cover

Even on a true all inclusive plan, four things usually fall outside. One, staples for the finisher. These are consumables. Two, paper. You buy your own. Three, damage caused by misuse. Spilling coffee on the machine or jamming oversized media will get you a separate repair bill. Four, network reconfiguration. If your IT team changes the network and the copier needs to be re configured, that is usually a billable trip.

Real Pricing on Maintenance Included Leases

The monthly cost runs 15 to 30 percent higher than a lease without maintenance. Typical 2026 ranges. A 35 ppm color copier with maintenance, $185 to $285 a month for 36 months. A 55 ppm color copier with maintenance, $285 to $475 a month for 36 months. A 75 ppm color copier with maintenance, $475 to $895 a month for 36 months.

These all in monthlies usually include 3,000 to 8,000 black and white pages and 1,000 to 5,000 color pages a month at no overage.

What Most Guides Miss

Maintenance included does not mean toner included. About half of all so called all inclusive copier leases bill toner separately. The dealer charges you for each toner cartridge as you order it, often at retail markup. A single color toner set for a 55 ppm color copier can run $400 to $750 per set. Over the life of a 5 year lease, toner can run $4,000 to $15,000 depending on your volume. Always ask in writing whether toner is included. If the quote says all inclusive and the dealer balks at putting toner in writing, the answer is no. Push to get toner bundled in or use a toner allowance equal to your real monthly usage. Otherwise the all in price is a marketing label, not a real all in number.

How to Read the Service Section of a Lease

The lease will have a section called Service Agreement, Maintenance Agreement, or Cost Per Print. Look for five things. One, the response time guarantee. Aim for 4 to 8 business hours. Two, the parts coverage list. All major parts should be listed by name. Three, the included page allowance, by color and black and white. Four, the overage rate per page, locked in for the term. Five, the toner clause. Included, billed at cost, or billed at retail.

What an Annual Escalator Really Costs

Many maintenance contracts include a 3 to 5 percent annual escalator on the per page rate or the monthly. Over 5 years a 5 percent yearly bump compounds to 28 percent higher cost in year 5. On a $345 a month service contract, year 5 costs $441 a month.

Push for a cap on the escalator or a flat rate for the full term. Some dealers will agree to a flat rate if you push. Some will cap at 2 percent.

Service Response Time

Maintenance included means the dealer responds when you call. The lease should spell out how fast. 4 hour response, top tier. 8 hour response, standard for most full service leases. 24 hour response, on smaller machines and rural areas. Anything longer is below industry standard.

When Maintenance Included Is Worth the Premium

Maintenance included makes sense for almost every office. The premium over a lease without maintenance is small compared to the cost of a single service call without coverage. A drum replacement on a 55 ppm color copier can run $400 to $1,200 in parts plus $250 to $500 in labor. One bad month of repairs can wipe out the savings on a bare bones lease.
