The copier arrives on a Tuesday, the delivery team wheels it in, and by 3 p.m. printing works but scan to email does not, nobody can find the machine from the second floor, and the technician has left. Two weeks later it is still half installed.
This is the most common bad copier install, and it is almost never the machine's fault. It is a handful of network items nobody agreed on beforehand. Here is the checklist.
Addressing and Physical Connection
Give the copier a static IP address or a DHCP reservation tied to its MAC address. This is the number one item. A copier on plain DHCP will eventually change addresses, and every workstation driver, every scan shortcut, and every print server queue pointing at the old address breaks silently.
Confirm there is a live wired ethernet drop within reach of the machine's final position. Copiers support wifi on many models, but wired is materially more reliable for a device pushing 40 MB scan files. If wifi is unavoidable, confirm the model supports your band and your security type, since some machines still do not handle WPA3 or enterprise 802.1X.
Also confirm the electrical requirement. Most office multifunctions want a dedicated 15 or 20 amp circuit, and larger production machines sometimes need 208 or 220 volt service. Finding that out on install day costs you an electrician and a week.
Ports and Firewall Rules
The usual set: TCP 9100 for raw printing, 515 for LPR, 631 for IPP, 161 and 162 for SNMP monitoring, 443 for the device web interface and cloud services, 445 for SMB scan to folder, and 25, 465, or 587 for SMTP scan to email.
If your copier sits on a separate VLAN from user workstations, which is good practice, someone has to write the routing and firewall rules for print and scan traffic across those VLANs. That is a 30 minute job if it is planned and a two week ticket if it is discovered after install.
Outbound access to the manufacturer's cloud endpoints is also needed for remote monitoring and automatic supply ordering, and if that traffic is blocked, meter readings stop flowing and you start getting manual read requests. How that reporting works is covered in meter reading and billing.
Scan to Email, Folder, and Cloud
Scan to email is the most fragile feature because Microsoft 365 and Google Workspace both stopped allowing basic authentication SMTP. The three working options are a modern authentication connector on the device, an internal SMTP relay, or a Microsoft 365 direct send connector locked to the copier's IP address. Decide which one before install and have the credentials ready.
Scan to folder over SMB needs a dedicated service account, not a staff member's login, and needs SMB signing settings that match your server policy. Many older copiers only speak SMBv1, which should be disabled on any modern network. Confirm the model supports SMBv2 or v3.
Cloud destinations such as SharePoint, Google Drive, or Dropbox need their own connector licensing and identity setup, which is a bigger project than it looks. That is broken out in copier lease SharePoint integration.
Security Requirements to Specify
Every leased copier has a hard drive or SSD that stores document images. Ask for encryption enabled and overwrite after each job turned on at install, not later. Change the default administrator password, since the factory defaults for every major brand are public knowledge and copiers are a well known soft target on business networks.
Disable protocols you do not use, especially FTP, Telnet, and SMBv1. If you handle regulated data, secure print release should be standard so documents do not sit in output trays, which is covered in secure print release.
Then plan for end of term. The drive holds copies of everything scanned or printed for years, and the machine goes back to the dealer at lease end. Get the wipe or drive retention right in writing when you sign, using the detail in wiping copier data at end of lease.
What Most Guides Miss
Nobody agrees on who owns the integration, and that is what actually causes the two week install.
The dealer's delivery team is trained to place the machine, connect it, and confirm it prints. That is what their install checklist says. Scan to email through modern authentication, VLAN routing, and SharePoint connectors are usually outside their scope, and they will honestly tell you to talk to your IT provider. Your IT provider, meanwhile, was never told a copier was coming.
The fix is one paragraph on the order. Name the person responsible for each item: static IP, firewall rules, SMTP method, scan destinations, driver deployment, and admin password. Schedule your IT provider to be present or reachable during the install window, not the following week. Dealers will coordinate this happily when asked at order time, and it costs nothing. Driver Deployment and Support
Decide up front whether users print through a print server, through direct IP with a deployed driver, or through Microsoft Universal Print. Direct IP is fine for under 15 users and painful above that.
Ask the dealer for a signed universal print driver package suitable for deployment through Intune or group policy, and ask how firmware updates are handled, since some updates reset custom settings. Finally, get a named service contact and a portal login for logging tickets, which matters more than most buyers expect once real problems start. See your service agreement.
